Collins Property Recruitment is working with a full-service West London-based Estate Agency to recruit a Tenancy Administrator.
The Tenancy Administrator role encompasses both general administration and communication with tenants and landlords, together with maintaining the tenancy database. Internally, you will assist with ensuring that any maintenance or tenancy issues are dealt with in an appropriate and timely fashion. You will be the first point of contact for tenants and landlords, and further distribution of actions.
Responsibilities will include, but not be limited to, the following:
- Manage landlord and tenant maintenance issues, including repairs and replacements.
- Coordinate tenant access, liaising with concierge, suppliers, and directors.
- Log and track repairs using LetMC/software; chase suppliers for updates.
- Handle credit control, invoices, and approvals.
- Manage deposit deductions, disputes, and tenancy closures in LetMC.
- Arrange pest control, cleaning, painting, and other maintenance bookings.
- Provide weekly maintenance updates; follow up on outstanding jobs.
- Resolve utility and council tax billing queries.
- Order general supplies and products as needed.
- Respond to tenant and agent queries via phone and email.
- Process tenancy offers, contracts, and documentation (email/post).
- Oversee end-of-tenancy procedures and inventory check-in/check-out.
